The General Registration Fee is 305 euros with accomodation and 275 euros without accomodation.

The registration fee, includes accommodation, all meals and transportation between congress venues during the official dates of the congress (25th to 29th of July). It does not include any flight costs and transportation costs from/to airport to/from the Congress venue upon arrival or departure from Portugal.

If you choose for the option without accommodation, please remember that the hotel has to be booked and paid by yourself and will not be reimbursed under any circumstance. Transportation from/to the hotel of your choosing to/from the Congress Venues will not be arranged by the Organising Team nor will it be reimbursed by the Region 8 and thus should be financially handled by the participant.

Yes, you are free to cancel your registration at any point, but keep in mind the refunding policy: participants will only get a full refund until the 31st of May. Cancellations after the 1st of June have a cost of 70€. After the 1st of July no refund will be possible.

No, there is no Ambassador Program.

Yes, your digital certificate will be given to you after the congress, via email.

In case you choose the ticket with accommodation, the breakfast is included.

You should apply for a VISA as soon as possible and inform the Organising Team about the progress and status of your VISA application. This step is very important to help us understand and prevent future issues with visa applications being cancelled or considerably delayed.

Whether you are a funded applicant or not, your registration fee will be reimbursed if and only if you comply with the following:

• Complete your registration and fee payment before the 29th of May 27th of May (inclusive);
• Send proof (to r8sac@ieee.org and r8yp@ieee.org with syp.porto@gmail.com in CC) that you started your VISA application process within 1 day of receiving your VISA invitation letter (e.g. appointment confirmation);
• If your VISA is rejected, to send a copy of the rejection letter (to r8sac@ieee.org and r8yp@ieee.org with syp.porto@gmail.com in CC) on the same day it is received

If you follow the above, your registration fee will be reimbursed in full, even if your VISA is rejected after the 1st of July. If you don’t follow all the instructions above, the normal reimbursement policy applies (see here under General Questions).

Whether you register as a funded participant or through the General Registration, you’ll be asked whether or not you need a VISA. If you do need a VISA, you’ll receive an email with a letter inviting you, as a participant, to the R8 SYP Congress. This invitation letter will only be drafted and sent to you after your registration is complete and your payment processed.
